In your mind, all of the interrelationships of how the “Find” fits into your experience are clear. But Electronic Persistence is just not yet standardized or efficient.

But electronically persisting these Insights is difficult for many reasons. Pervasive use of Search Technology has accelerated the pace at which we experience Information Insights. Most of the traditional ways we might think of persisting them are time consuming and we rarely fight through the “Barriers to Entry” to log these important “Finds”.
Overreliance on Human Memory wastes much of the Investment we make in Information Technology. What are the Barriers to Electronic Persistence?
Email models the Complexity of our Information LivesLet’s say that you receive an Email with attached Documents outlining a Change Request from the Tech Lead to the Sponsor regarding continued Development following up discoveries made during a Proof of Concept engagement relating to a specific IT Deployment Project. The Bolded Words above help define how even a simple line item in our Inbox can have much wider implications. The sentence above is not hard for us to understand, and, if you were to see the Email again sometime in the future you would be reminded of the broader framework surrounding the Message.
Do you “File” this Email or does it stay in your Inbox?Admit it; most of your Email stays in your Inbox. If you do “File” the Email, in how many Folders should it reside?“Development Projects”, “Proof of Concept”, “Tony”, etc… There might not be one best place to file it. Admittedly, Search might help us locate things in our cluttered Inbox, but we would have to recall specific Keywords to ensure inclusion in Search Results. How do you manage the Information about the people you collaborate with via Email?Could you easily pull up that you collaborated with somebody on a Document? Would the Document be associated with their Contact Record? Who did you work with on that Proof of Concept? Who came up with the idea for that “Visual Approach” to Information Management? What do you typically do with Email Attachments?Do you save them someplace special on your Hard Drive? Your Network? A Content Management System? Does your Organization have a policy that Attachments must be logged in a Content or Records Management System?How much extra effort does it take to log an Attachment to Sharepoint? Documentum? LiveLink? Does anybody but you have the Insight to come up with the Search Keywords to get back up-to-speed on the Project?How many Searches will it take you to get you back up-to-speed on the Project around which this Email revolved if it has to be revisited sometime in the future?
What is illustrated here is called “Disconnected Search Phenomena”. Multiple Searches are needed to return the pieces of what was originally a tightly coupled bundle of Information. In addition, some of the Attachments might not be “Indexable” and might never be returned in Search Results. The i360 Suite provides a very simple and elegant Solution to this problem. |
